📑 Media Images Photography – Terms & Conditions

1. Definitions & Scope

“Photographer” refers to Media Images Photography.
“Client” refers to the person, group, or organisation booking photography services.
“Services” refers to photography provided for music, sports, and events.
These Terms & Conditions form the agreement between the Photographer and the Client.

2. Bookings & Payments

A non-refundable booking fee of 25% of the total fee is required to secure the date.
No booking is confirmed until the fee has been received.
The remaining balance is due 7 days before the event, unless otherwise agreed in writing.
Payments may be made via bank transfer, PayPal, or other agreed methods.

3. Cancellations & Refunds

If the Client cancels, the booking fee is non-refundable.
If cancellation occurs within 14 days of the event, the full balance remains payable.
If the Photographer must cancel due to illness, accident, or unforeseen circumstances, all monies paid will be refunded, and reasonable efforts will be made to recommend an alternative photographer.
Force majeure (events beyond control, e.g. extreme weather, venue restrictions) will release both parties from liability.

4. Image Delivery

Images will be delivered in digital format via an online gallery or download link within 4 weeks of the event, unless otherwise agreed.
The Photographer is not responsible for delays caused by print labs, third-party suppliers, or technical issues beyond control.
Images are edited at the Photographer’s discretion. RAW/unedited files will not be supplied.

5. Copyright & Usage Rights

All photographs remain the copyright of Media Images Photography.
Clients are granted a non-exclusive licence to use images for personal, promotional, or editorial purposes related to the event.
Images may not be sold, licensed, or submitted to competitions/publications without written consent.
Commercial use (e.g. merchandise, advertising campaigns) requires a separate licensing agreement.

6. Photographer Rights

The Photographer retains the right to use images for portfolio, website, exhibitions, social media, and promotional purposes unless the Client requests otherwise in writing before the event.

7. Liability & Limitations

The Photographer will take every reasonable step to provide high-quality images but is not liable for missed shots due to client lateness, venue restrictions, or unforeseen circumstances.
In the event of equipment failure, liability is limited to a refund of fees paid.
The Photographer carries public liability insurance; details are available on request.

8. Client Responsibilities

The Client must ensure the Photographer has appropriate access and permissions to photograph at the event.
The Client is responsible for securing necessary permissions from venues, artists, or participants.
The Photographer will not be held liable for restrictions imposed by venue staff or event organisers.

9. Data Protection (GDPR)

Client information is stored securely and used only for communication, invoicing, and delivery of services.
Data will not be shared with third parties without consent, except where required by law.
Images may be stored in secure archives for future client access unless deletion is requested.
